Where each kind of message should go.

There is one mailbox. The subject line is what routes a message inside it, so the suggested prefixes below are worth using.

New work and process reviews

hello@wfaisolutions.co.uk with the subject Process review enquiry. Describe one process. We reply with either a set of questions or an honest statement that this is not work we should take.

Data protection requests

hello@wfaisolutions.co.uk with the subject Data protection request. We respond within one month as required by the UK GDPR. The full procedure, including how we verify identity, is set out in the privacy notice.

Legal notices

Email to the address above, or post to the registered office. A notice sent by post is treated as received on the second working day after posting.

Suppliers, recruiters and partnership offers

Read but rarely answered. The practice has no partner programme, no reseller scheme and no open roles to advertise. Unsolicited sales sequences are deleted without reply.

02 / What to send

Five things that make a first message useful.

None of these is a qualification test. They are simply the questions we would otherwise send back, and answering them in the first message saves a week.

The process, in one sentence

What starts it, what finishes it. For example: supplier invoices arrive by email and end up as a coded entry in the accounting system.

Who does it and how often

A role, a rough number of times per week, and whether it is one person or several doing it slightly differently.

The systems it touches

Name them, including the spreadsheet and the shared inbox. Those two are usually where the real process lives.

What goes wrong

The exceptions, the arguments, the thing that happens once a month and ruins an afternoon. Exceptions decide whether a process can be automated at all.

Any hard constraint

Data that cannot leave the country, a system nobody is allowed to write to, a deadline, a procurement requirement we may not be able to meet.

Not needed yet: a budget figure, a signed non-disclosure agreement or a specification. If you want to send something commercially sensitive, ask and we will sign a mutual non-disclosure agreement first.

This form does not submit anything to a server. There is no database behind it and no third party form service. Pressing the button opens your own email client with the answers written into a message addressed to hello@wfaisolutions.co.uk, which you then send yourself.

Enquiries are read directly. We aim to reply within two working days. If a week passes with no reply, assume the message did not arrive and send it again.

04 / What happens next

There is no sales sequence behind this address.

You will not be added to a mailing list, scored by a marketing tool or telephoned by somebody who has never read your message. Your email is read, answered once, and answered by the person who would do the work.

If the process you describe is not a fit, we say so in the first reply and, where we can, name the kind of firm that would suit it better. If it is a fit, the next step is a fixed fee process review, quoted before it starts, with the deliverable stated in a sentence.
